These would usually be teams created by other companies you work with such as suppliers. They can also be other teams or departments within your company.</p><p>Once connected with a team, you will be able to send records to them asking questions, requesting comments, and include relevant attachments. Perhaps you would like them to address a complaint, a <a href="https://www.cloudtheapp.com/corrective-and-preventive-actions/">CAPA</a>, or a billing issue.</p><p>Those connected teams may in turn update the records sent to them with the relevant details, then send them directly back to your team. This allows for easy, secure, and seamless communication across teams all within the same system. The communication is also retained for future reference, <a href="https://www.cloudtheapp.com/audits/">audits</a> or <a href="https://www.cloudtheapp.com/inspections/">inspections</a>, right within the relevant records and <a href="https://www.cloudtheapp.com/documents/">documents</a>.</p><p>The teams you connect to may be making full use of Cloudtheapp as their own <a href="https://www.cloudtheapp.com/glossary-quality-management-system-qms/">QMS</a> and digitization platform. Alternately teams such as suppliers may only register for the free starter plan to allow them to easily process your records and answer your requests. Suppliers (or external parties) will be able to complete this registration in seconds, and it can be done from the standard browsers (Chrome, Safari, Firefox, Edge) on any OS or device. In contrast to other so called “supplier portal” systems, there is no complex security or networking configuration, no software to install, no hardware to provision. 									<p><strong>I</strong> have been noticing an increasing number of legacy software vendors claiming to offer “SaaS Solutions”, giving a false impression to prospects and customers that they are enjoying a “true” multi-tenant SaaS solution experience. Far from it! In reality, these vendors are Single-tenant software providers. </p><p><strong>I</strong>f you are not familiar with the terminology and need to know the difference between multitenant vs single-tenant system, there are hundreds of resources on the topic and the pros &amp; cons of each. This was defined years ago and multi-tenant systems came out on top as the clear winner on almost all counts. </p><p><strong>T</strong>his article will instead focus on “Single-tenant” vendors that claim to provide SaaS solutions to make it look like they are providing the full multitenancy SaaS experience when they are not. If your system is SaaS but is from a single-tenant vendor, then you are not getting all the advantages of a true SaaS Multi-tenant solution, here is why:</p><p>1.      True SaaS is designed and architected for <strong>self-serve and instant time to value</strong>, while “SaaS-ifying” or hosted solutions by single-tenant vendors requires setup and provisioning of servers, this wipes out the time to value proposition, adds costs, and requires IT and Cloud expertise from both the vendor and the customer.</p><p>2.      <strong>Scalability</strong>, True Multi-tenant solutions are set up and geared to support thousands if not millions of users in terms of deployed resources, whereas “Hosted” Single Tenant SaaS solutions are provisioned to only serve that one customer, relying on requirements set when buying the instance, leading to nearly continuous slow performance and scalability nightmares.</p><p>3.      True Multi-tenant SaaS solutions are built with cloud <strong>security in mind from the start</strong>, otherwise they can’t convince anyone to give up their data centers and IT control, whereas Hosted Single Tenant Solutions don’t, as they were built to be hosted in an on-premise server and will require a lot of direct attention and additional security measures to be performed separately, adding more to the risk, agony, and cost factors.</p><p>4.      <strong>Upgrades</strong>: If you suffer every time you want to go to the latest release and it takes you more than a couple of hours, then you are not on a true multitenant SaaS. True Multi-tenant improvements and fixes are pushed to one environment once and hence allowing all customers to enjoy features much quicker and with very minimal scheduled downtime, Single-tenant Hosted solutions, on the other hand, need to be done separately for each customer, after collecting information about configurations each customer has made with an effort to customize a patch/upgrade that will end up causing delays, limiting innovation, and costing customers more money.</p><p><b>Conclusion</b></p><p><strong>I</strong>f you are in the process of purchasing a SaaS EQMS/EHS system, make sure you ask your vendor if their system is a “True” multi-tenant system, meaning that there is one instance of the software serving all customers, one that enjoys all of the benefits of being multitenant, and not what some vendors try to fake, offering a single-tenant instance serving a single customer or in some cases a handful, where they make you share resources with two to four other customers on one cloud server to cut their costs.</p><p> <strong>I</strong>f you are already using a legacy single-tenant hosted “wannabe” multi-tenant system, then you should be able to relate to some or all of the issues I mentioned, therefore, do your company and users a favor and plan your next move to “True” multitenancy SaaS.</p>								</div>

Being in the compliance space for nearly 20 years, I think the most critical decision is whether your cloud platform should be multitenant.</div><div id="ember57" class="ember-view"><div class="reader-article-content" dir="ltr"><p>The first step in addressing this challenge, is to understand the difference between single and multitenant models. Basically, single tenant means that you have your own dedicated instance of the system hosted in the cloud, while with multitenant you are accessing a global online system that serves many customers simultaneously. Data is usually stored in the same database with measures to separate the different tenants ensuring privacy and security.</p><p>Initially, you may think that selection is easy. After all, why would you want to share the system with others? The reality is more complex, and to answer this question, you need to understand what’s under the hood. Software vendors may suffer while operating a single tenant model, and this can negatively impact your business.</p><p>Here are some of the items software vendors agonize over while operating a single tenant model:</p><p><strong>1.    </strong> <strong>Upgrades and updates:</strong></p><p>Many software vendors claiming to be SaaS providers, will make it your responsibility to upgrade or update your system, and even if they help, upgrading hundreds or thousands of scattered single tenant environments begins to look like a mission impossible. Especially if each customer is on a different version, or have customized their installation in a different way. When the vendor struggles in accomplishing these <a href="https://www.cloudtheapp.com/tasks/">tasks</a>, this could leave you with many problems to address right after each upgrade, and it could mean you will be waiting on a long queue to have your upgrade executed and your customization issues addressed.</p><p><strong>2.     Security:</strong></p><p>Some software vendors claim security is the top reason you should consider a single tenant model. They forget how difficult it is to secure thousands of dissimilar scattered instances they have on the cloud; if they manage to track them at all.</p><p>A Single Tenant System is not only the software code, but also the underlying infrastructure services that support it (Application/Database/Email Servers, Operating System, etc…). Each service could have its own security issues.</p><p>Say if a major security vulnerability is reported by the Application Server software vendor. Your system vendor will not only have to upgrade the App Server version on thousands of instances, but also the platform itself to make it compatible with the new version of the App Server (all at the expense of your timetable). Some vendors will simply ignore the vulnerability because they cannot afford the solution with dire consequences for your business.</p><p><strong>3.     Support:</strong></p><p>“<em>Could you please help us identify where your system is installed within our cloud?</em>”. Do not panic if you get that question from the Support Rep of your single-tenant provider, it is a very common question in that world. You will get to see Support struggling to help with endless cases resulting from scattered instances, customers on different versions, installs and customizations done in different ways, and the list goes on and on.</p><p><strong>4.     Innovation:</strong></p><p>Your feeling that your single tenant provider is not innovating in terms of new features or enhancements is not wrong. If 80% to 90% of their R&amp;D resources are busy throughout the year “trying” to contain the mess resulting from the huge number of dissimilar instances they have, then their inability to innovate is understandable.</p><p>If you just upgraded the system after waiting in a long queue to find out that the only thing that changed is the version number, and fixes for a few bugs that you didn’t suffer from, then your single tenant provider is just trying to deliver on their promise to provide updates within specified frequency.</p><p><strong>5.     Performance &amp; Technology:</strong></p><p>You paid for dedicated powerful servers on the cloud; yet your users are suffering from nasty performance issues, their focus is shifted from doing business to waiting for pages to load?</p><p>The truth is that most single tenant vendors have old systems developed far before the recent powerful cloud technologies that allow building multitenant systems, ones that can scale to support a huge number of online users. At the time of the cloud boom, these vendors found that the single tenant model is their “easy” path to cloud, and instead of <a href="https://www.cloudtheapp.com/shipping/">shipping</a> the software to your on-premise server, they now ship it as is, to a server on the cloud (that easy).</p><p>These older technologies are limited in what they can do, and vendors that claim to be “Cloud SaaS” providers would always struggle to support your users with the performance they desire.</p><p>It is time for you to question technologies used in your Compliance/EQMS platform. Were these technologies invented in the previous century?</p><p><strong>6.     Collaboration:</strong></p><p>Single tenant providers are always challenged with providing the features you need to interact with external entities. Being on a multitenant online network allows you to interact with other entities (like <a href="https://www.cloudtheapp.com/inside-cloudtheapp-connected-teams/">suppliers</a>, customers or product consumers) without having to introduce “helper” systems to accomplish the mission, nor risking a breach by using solutions that allow these external users into your intranet.</p><p><strong>7.     Cost:</strong></p><p>It is unfortunate that some single tenant providers will try to sell you a dedicated system as an advantage, and you will find yourself paying for the cloud costs (servers and underlying services), you will also pay for the cost of their struggles to manage the single tenants farm they have. At the end of the day vendors will have to be profitable even if they struggle, and you end-up paying the bill.</p><p><strong>Where do you go from here?</strong></p><p>After reviewing the items above, and if you made your decision to go with a multitenant provider, there are some additional considerations, to select the right one:</p><p><strong>1.     Platform:</strong></p><p>“Is the platform owned by the software vendor and was fully developed by them”?</p><p>This is a key question to ask, when you are about to select a multitenant vendor for your Compliance/EQMS software. If the vendor does not own it (utilizing a 3rd party), their ability to introduce the feature set you need in the Compliance world will be very limited.</p><p><strong>2.     Configurability:</strong></p><p>Realizing a configurable multitenant platform is pretty complex, because underlying database services are shared, so most multitenant providers will select to introduce a system that is not configurable or one that offers very limited configurability.</p><p>Configurability is key in the compliance world, and you should find a platform that you can leverage to implement your own business scenarios, not the scenarios in the mind of the developer who developed it to be used as is.</p><p>Being able to configure with ease is crucial too (No complex coding or scripting, no programmers). If you cannot build your process on your own (requires vendor intervention), then it is not the right platform for you.</p><p><strong>3.     Unification:</strong></p><p>To provide you with the set of applications you need, some multitenant providers deployed multiple loosely coupled systems that were either developed by them, or acquired from 3rd parties. These systems do not integrate smoothly in most cases, and you will end-up with data in isolated islands. You should be looking for a provider that has a unified tightly integrated platform that can be used for any business or compliance process or application.</p><p><strong>4.     “True” Multitenant:</strong></p><p>You will find systems out there, that implemented multitenant in an odd way, like being a multitenant on the application tier but not the database tier (or vice versa), or it could just be multiple single tenant deployments deployed on the same server hardware. Multitenant architecture in the software industry is crystal clear, and these inadequate solutions will not scale as needed, nor help your business.</p><p>To conclude, the choices are limitless, and the selection process is not easy. 									<p><span style="color: var( --e-global-color-text ); font-family: var( --e-global-typography-text-font-family ), Sans-serif; letter-spacing: 0px;">H</span><span style="color: var( --e-global-color-text ); font-family: var( --e-global-typography-text-font-family ), Sans-serif; font-weight: var( --e-global-typography-text-font-weight ); letter-spacing: 0px;">aving spent the last 22 years of my career working on Compliance/EQMS solutions and platforms, dealing with many software vendors, hundreds of <a href="https://www.cloudtheapp.com/inside-cloudtheapp-connected-teams/">suppliers</a> and thousands of customers, the below signs are by far the most painful, most expensive, and counterproductive factors that impact any QMS/Compliance, platform user:</span></p><ol><li><strong>Complexity: </strong>if your Compliance/EQMS platform is complex to use, difficult to administer, difficult to change when and as needed, then there is a big chance that you need to reconsider your choices.</li><li><strong>Limited or No Configurability:</strong> No two companies are alike and the era of “One size fits all” is over, organizations need to be able to configure their software systems to match their identity, to promote their brand, and to simplify operations and task executions as per their process and not as defined by the software vendor. Operations excellence requires those who are most capable and knowledgeable to spot improvements for a process and be able to inject those changes immediately and without having to go back to the software vendor.</li><li><strong>Difficulty of Promoting Configurations:</strong> introducing configurations and making changes are never done on a production environment, the right practice which comes from the Life Sciences industry is to have three environments (Development/QA/Production) where changes are made in Dev. and then tested in QA before being promoted to Production. Most software vendors suffer in creating a process/tool for users to allow them to move configurations/changes that they have made across the three environments seamlessly and instantly, it makes no sense for admins. to spend weeks making the changes only to be faced with a challenge that moving such changes will require the intervention of the software vendor for days (lucky) and weeks (most likely) to move changes across using an error-prone process and tool or worst yet, manually.</li><li><strong style="background-color: transparent; color: var( --e-global-color-text ); font-family: var( --e-global-typography-text-font-family ), Sans-serif;">Destructive Upgrades:</strong><span style="background-color: transparent; color: var( --e-global-color-text ); font-family: var( --e-global-typography-text-font-family ), Sans-serif; font-weight: var( --e-global-typography-text-font-weight );"> if the process of obtaining the latest and greatest updates to your software is not instantaneous then you are missing out. If you are placed in queues for months to be able to upgrade and worst yet charged for it, then you are cheating your company and users, and the worst part is that after waiting for several months and paying for it, the upgrade ends up being a disaster that had left you without all the configurations you have made and the data that you added and the best wish you can make is for the software vendor to roll back your system and bring it to what it was before this upgrade misery.</span></li><li><strong>Performance Bottlenecks:</strong> in today’s world, systems need to scale and allow users (millions of them) to access the software around the clock and across the globe. The last thing you want is to have all system users impacted by a single user who is, for example, generating a big report. The worst problem that users suffer from is when the system allows you to make poor changes that lead to performance issues impacting all users by bringing down the system for all, this makes admins. very strict in allowing changes and injecting improvements which result in lost efficiency and innovation hurdle.   </li><li><strong>Not True SaaS:</strong> if you are not on a SaaS platform, you are probably reshifting your focus and efforts from improving your business to managing infrastructure, chasing security holes, spending too much time and effort on upgrades. There are many reasons for demanding your Compliance/EQMS system to be SaaS, the most obvious ones are: time to value, security, reliability, flexibility, accessibility, simplicity, and cost.</li><li><strong>Absence of Collaboration:</strong> if your Compliance/EQMS platform does not allow you to collaborate with external parties (outside of your employee base) such as suppliers, vendors, and consumers then your system is behind. Collaboration without having to install many disintegrated systems is key to a successful software implementation. You ought to be able to assign CAPAs, for instance, to your suppliers and receive your product consumer <a href="https://www.cloudtheapp.com/complaints/">complaints</a> using the very same system.</li><li><strong>Coding/Scripting:</strong> If your software vendor has left you with thousands of scripts and unmanaged code right after the implementation, and every time you need to make changes to your applications you need to contact your software vendor’s support or open a service order with them, then your system is old and not flexible enough. Admins., Power Users, and Process Owners should all be able to build applications, automate <a href="https://www.cloudtheapp.com/processes/">processes</a>, and make all kinds of changes without having to write any code/scripts or need programmers.</li><li><strong>High Cost:</strong> some organizations tend to prefer paying hundreds of thousands for the software upfront and continue paying TS &amp; Maintenance as long as they are using the software, the truth is that TS &amp; Maintenance fees should be enough to cover your SaaS Compliance/EQMS system without the upfront costs, this way if the software is not delivering what it promised to deliver then the choice of switching is a No brainer. Many organizations feel stuck today due to the hefty investment they made in purchasing their legacy software, they should not. Continuing with such systems will cost you even more. Just eat your loss and move on.</li></ol><p><strong style="color: var( --e-global-color-text ); font-family: var( --e-global-typography-text-font-family ), Sans-serif;"><br /></strong>S<span style="color: var( --e-global-color-text ); font-family: var( --e-global-typography-text-font-family ), Sans-serif; font-weight: var( --e-global-typography-text-font-weight );">aaS has made it easy to select the right fit for your software needs, you no longer need to be a hostage of a selection made years ago that does not fit anymore, for a system that is complex to use and heavy to maintain. <a href="https://www.cloudtheapp.com/glossary-continuous-improvement/">Continuous improvements</a> or the ongoing efforts to improve products, services, and processes mandate that you implement the right software to support such efforts, a software that allows you to make timely changes easily and seamlessly.
