Which process map should you use?

ToolUse it when…What you get
SIPOCYou need to agree the scope and boundaries of a processOne-page overview of suppliers, inputs, steps, outputs and customers
Process FlowchartYou need the sequence of steps and decisionsStandard flowchart for SOPs and training
Swimlane DiagramSeveral roles or departments are involvedSteps by owner, with every hand-off visible
Workflow MapAn office or approval process is too slowLead time, waiting, handoffs and flow efficiency
Value Stream MappingYou want to reduce lead time and inventory in productionTakt time, lead time ladder and process cycle efficiency
Spaghetti DiagramPeople or material move too muchRoutes on the floor plan with distances per day
Turtle DiagramYou need to define how a process is controlled (IATF, ISO)Inputs, outputs, resources, people, methods and KPIs
Process Hierarchy MapYou need an overview of all processes and ownersNumbered process architecture from L0 to L3

A practical process mapping approach

  1. Scope it. Agree the start, end and stakeholders with a SIPOC.
  2. Map the current state. Walk the process and draw a flowchart or swimlane diagram of what really happens.
  3. Measure it. Add time and inventory with a workflow map or value stream map.
  4. Design the future state. Remove waste, waits and hand-offs, and compare the metrics.
  5. Standardize. Update SOPs, train people and define controls with a turtle diagram.

From process maps to controlled processes

A map on a wall does not change how work is done. Cloudtheapp keeps processes under control with no-code, validated workflows, document control for the SOPs that describe them, training for the people who run them and an audit trail that proves they were followed.

Frequently asked questions

What is process mapping?

Process mapping is the practice of drawing how work flows: the steps, decisions, people, systems, materials and information involved. A process map makes a process visible so it can be understood, standardized, audited and improved.

Which process map should I use?

Use a SIPOC to scope a process, a flowchart for the sequence of steps, a swimlane diagram when several teams are involved, a workflow map to measure handoffs and waiting time, a value stream map for manufacturing flow and inventory, a spaghetti diagram for physical movement, a turtle diagram to define process controls, and a process hierarchy map for your overall process architecture.

What is the difference between current state and future state maps?

A current state map documents how the process works today, warts and all. A future state map shows the improved design. Mapping both, with the same metrics, shows the expected benefit of a change.

Does ISO 9001 require process maps?

ISO 9001 requires organizations to determine their processes, their sequence and interactions, inputs and outputs, resources, responsibilities and performance criteria (clause 4.4). Process maps are not mandatory in a specific format, but they are the most common way to meet and demonstrate this requirement.

Are these process mapping tools free?

Yes. Every tool is free, requires no account and keeps your data in your browser. Export to PDF, PNG, Excel or CSV, or save a file to keep editing later.
