Which planning tool should you use?

ToolUse it when…
Action PlanYou need owned, dated actions toward a goal, tracked on a board
Gantt ChartYou need a calendar schedule with dependencies, milestones and progress
RACI MatrixSeveral roles share a process and you need to agree who does, approves and is told
Critical Path MethodYou need the activities that drive the end date and the float of the others
PERT ChartDurations are uncertain and you need the chance of meeting a deadline
Arrow DiagramYou want the activity-on-arrow network of the seven management tools
Process Decision Program ChartYou want to prepare countermeasures for what could go wrong with a plan

From decision to done

  1. Agree the goal and the actions in an action plan.
  2. Clarify roles with a RACI matrix.
  3. Sequence and schedule the work on a Gantt chart; check the critical path.
  4. Test the plan: estimate uncertainty with PERT and prepare contingencies with a PDPC.
  5. Track weekly until every action is done and the goal is met.

From plans to managed work

A plan in a file goes stale the day after the meeting. Cloudtheapp assigns the work to owners with due dates, reminders and approvals, launched from the CAPA, change or audit that started it, so progress is visible without anyone updating a spreadsheet.

Frequently asked questions

Which project planning tool should I use?

Use an action plan for a list of owned actions without complex dependencies, a Gantt chart to schedule tasks on a calendar, the critical path method or arrow diagram to find what drives the end date, PERT when durations are uncertain, a RACI matrix to agree roles, and a PDPC to prepare for what could go wrong.

What is the difference between CPM, PERT and an arrow diagram?

All three model a project as a network of dependent activities and find the critical path. CPM uses one duration per activity and shows float on an activity-on-node diagram. PERT uses three estimates to calculate the probability of meeting a deadline. The arrow diagram draws the same network in activity-on-arrow form with events and dummies.

Are these the seven management and planning tools?

Three of them are: the arrow diagram, the process decision program chart and (in the planning and prioritization category) the matrix diagram, tree diagram, affinity diagram, interrelationship diagram and prioritization matrix. Together they make up the seven management and planning tools.

Can I use these tools for quality projects?

Yes. They are well suited to validation and qualification projects, CAPA implementation, supplier qualification, audits, product transfers and improvement projects. Export the plan to PDF to attach it to your records.

Are these tools free?

Yes. Every tool is free, needs no account and keeps your data in your browser. Export to PDF, PNG, Excel or CSV, or save a file to continue later.

Assign and track the work behind every quality project

Cloudtheapp assigns tasks to owners inside and outside your company, launches them from CAPA, changes and audits, and keeps approvals and e-signatures with full audit trail in one validated cloud platform.
